BayWa established a Centre of Excellence with AKOA

In line with the motto "United for success", BayWa has created the basis for standardized automation within the Group in cooperation with AKOA. At the same time, the project has revealed an enormous potential for RPA in various specialist areas.

Background

BayWa is a globally active group with trading, logistics and services in the core segments of energy, agriculture and construction, serving basic human needs for food, heat, mobility and housing. Integrated customer solutions, high-performance project development and digital applications are the focus of the Group's forward-looking activities.

The Challenge

The topic of Robotic Process Automation (RPA) has already been implemented at BayWa for several years. As part of the project, it was not only necessary to introduce new RPA software, but also to establish an interdisciplinary "Automation Services" team. In other words, a center of excellence for the topic of automation, which implements RPA processes quickly and efficiently according to a standardized procedure. This lays the foundation for a scalable innovation strategy at BayWa.

The Solution

Divided into the six modules Strategy, Governance, Methodology and Tools, Infrastructure, Success Measurement, and Roadmap, BayWa successfully completed the project in cooperation with AKOA. For this purpose, a process handling concept including the associated tools was first conceived. Based on best practices, the "Technology Evaluation Tool" followed in a second step. All of this together forms the basis for automation within BayWa and enables it to perform an initial analysis by answering just a few questions in order to generate the projects. This makes it possible to see at a glance whether it makes economic sense to implement the project, how high the savings potential will be, and which technology is best suited for this purpose. Not only can initial key figures be easily defined before the start of the project, but the measurement of success during implementation also becomes immediately transparent.

At the same time, the project has revealed an enormous potential for RPA in various specialist areas. Under the leadership of Tobias Fausch (CIO) and Wolfgang Kneidinger (Head of Business Services), the Automation Services center of excellence was successfully established. In the future, all topics related to automation will be coordinated and implemented via this central platform. For this purpose, the organizational setup, the infrastructure, and the first three RPA bots were implemented in the Group within 6 months.

The Automation Services team will work with the business units to find and implement further automation using RPA, thereby further increasing the maturity of automation within BayWa. Since each use case entails different requirements, not only does the specific expertise increase, but also the catalog of reusable modular development components. The result is a cross-functional knowledge transfer and a significant increase in efficiency. In the future, the topic of test automation will be examined and applied at BayWa.
